An Affiliate Program Coordinator is key to the success of an Affiliate Program. You must designate someone to be your Affiliate Program Coordinator. This is the person who will oversee the day to day operations of your Affiliate Program. This may be you or someone in your business you delegate the responsibility to. It is important to make a conscious decision concerning who will run your program otherwise the Affiliates that sign-up with you will become frustrated and your program will not be successful. Below are the key tasks and responsibilities that are critical to assign to someone in your organization in order to have and maintain a successful Affiliate program.
- Set-up the Decentrix AffTraq Parameters on the Administrative Panel for banners, commissions, email communication, email messages etc. (Decentrix can help with all of these decision processes)
- Study and learn the system - add yourself as a "dummy" Affiliate and play with the capabilities
- Decide on fundamental business issues related to your program such as the commission amount you are willing to pay, what the minimum amount will be before you cut a check for an Affiliate, and if you want a 1 or 2-tiered Affiliate program.
- Create and maintain, your Affiliate Agreement. Although we provide you a sample agreement, you are required to seek legal advice on the final form that works for you.
- Add your Affiliate Agreement to your Decentrix website. Remember that you don't have to publish this page until you are ready to "go live" with your program
- Review the Affiliate Program description that will appear on your Website. A sample of one is initially provided by Decentrix when you sign-up for the AffTraq system, and you can customize it for your own needs, including the commission amounts and any other edits you wish to make
- Review your Affiliate FAQ's which are initially provided by Decentrix AffTrac and make any necessary edits based on the way you want to establish your specific program

- Your Affiliate Agreement
- Be available to clearly, and accurately communicate with your Affiliates through email and over the phone.
- Review, edit, update and maintain all Affiliate follow-up emails, thank-you emails and other communications
- Actively recruit new Affiliates through referral, direct mail and online promotions.
- Review, monitor and report on Affiliate activities.
- At least on a quarterly basis, review and cancel non-performing Affiliates.
- Pull commission reports provided by AffTraq at end of month and send out monthly commission checks.
- Make certain your Affiliates are following your Agreement with them regarding SPAM and any other terms and conditions from your Affiliate Agreement. Remember, as you will, Decentrix also has zero tolerance for anyone exploiting SPAMMING.
